Correct an invoice and credit notes

An invoice shows a wrong address or company name? With an invoice correction, Tentary creates a credit note and a new, corrected invoice.

When to correct an invoice

An invoice that has already been sent must not simply be overwritten. Instead, it is cancelled and replaced by a new one. That is exactly what an invoice correction does: Tentary creates a credit note for the previous invoice and a new, corrected invoice with the right details.

Typical reasons are a typo in the address, a missing company name or a missing VAT ID of your customer.

You can correct an invoice on orders that are paid, already have an invoice and have not been refunded. Subscriptions cannot be corrected.

How to correct an invoice

  1. Open the order under Sales.
  2. Under Invoice correction, click Manual invoice correction.
  3. In the window, correct the details of the Buyer, for example name, company, address or VAT ID. If needed, you can also adjust the details of the Seller.
  4. Under Reason for correction (visible on invoice), enter why you are correcting the invoice.
  5. Leave Send to buyer switched on if your customer should receive the credit note and the corrected invoice by email.
  6. Click Create correction.

Afterwards, both documents are in the order under Credit notes & corrections, each as a PDF. They also appear in your accounting under Your invoices to customers.

Changing tax and amounts

Under Tax & amounts, Edit tax-relevant fields also lets you change the type of purchase, Business purchase (B2B) or Private purchase (B2C), as well as the tax rate and the amounts. Tentary then recalculates the amounts on the invoice. With Tax note (visible on invoice) you can add a VAT note if needed.

Important: You are responsible for the correctness of the tax details. Your monthly revenue reports do not take over such a change, they keep showing the original amounts.

For installment payments

For an installment payment, the credit note reverses the full original invoice. The corrected invoice shows the amount your customer has paid so far.

Credit notes for refunds

When you refund an order that has an invoice, Tentary automatically creates a credit note. It is sent to your customer together with the refund confirmation. To learn more about refunds, see refunds and chargebacks.

If a refunded order has no credit note, for example an older order, you can create it in the order afterwards with Generate credit note.

Note: If you chose Do not create invoices under invoicing, Tentary does not create credit notes either.
